Payments and point of sale

Your club’s money, taken upfront

A court paid for before it is played is not the same business as a court paid for afterwards — or not at all. That is the whole subject of this page.

Split payment

Everyone their share, nobody fronting

Four players, one court, one price. The amount divides between the participants and each one pays their own part when they join — so the organiser is not a bank, and there is no settling up in the car park afterwards.

  • Or one payer, if that is your club: it is a per-court setting, not a rule we impose.
  • Deposits: the court is held as soon as the deposit lands, with the balance settled later.
  • A deposit that follows the player: lighter for a regular who always pays, higher for a profile that has cancelled before. You set the threshold.
Cash flow

The season funds itself with the season’s money

  • Wallets and prepaid cards take the money before the games are played — a ten-hour card bought in September is cash in September.
  • Memberships billed on your own terms, monthly or in one go.
  • Sales that land overnight: bookings, cards, memberships and tournament entries are bought online around the clock, including when nobody is answering the phone.
  • A slot let go is either paid for or resold: released in time it goes back on sale, released too late it has already been paid.
The books

Accounting without re-entering anything

Every take, online or at the desk, lands in the same list — with the exact bank fees charged on each one, because a rate that hides its fees is a rate you cannot check.

  • The payments list in the back office, online and at the desk
Every take, listed Online or at the desk, with the exact bank fees charged on each one.
  • The detail of a single sale: contents, payer, payment method and VAT
Every sale in detail Contents, payer, payment method, VAT: a precise view on each sale.
What we do not do

We did not reinvent the till

Our point of sale handles what happens around a booking: memberships, prepaid cards, extras, the drink added to a court. What it is not is a certified cash register, and we would rather write that sentence than let you find out at your first audit. For the counter till we openly recommend Odoo — it does that job properly, and we work with it rather than against it.

Frequently asked

Payments, plainly

Which payment methods are supported?

Card, digital wallet and Bancontact natively, with split payment so each player on a match settles their own share. Bancontact is a Belgian method — it matters to our Belgian clubs and it is simply there if you never need it.

Do my players pay a fee on top of the court price?

No. The price you display is the price they pay: no service fee, no cancellation fee. That is the structural difference with a marketplace, where the player pays a surcharge on top of your rate.

Do you take a commission?

Yes, on online sales, and its grid is published. It is tapered — the rate drops as your volume rises — and it includes bank fees whatever the payment method, so you get no separate transaction-fee invoice and no processor statement to reconcile.

Is your till certified for my country’s tax rules?

No, and we will not pretend otherwise. Our point of sale handles what happens around a booking — memberships, prepaid cards, extras — but it is not a certified cash register. For the counter till we openly recommend Odoo, which does that job properly and which we integrate with.

What happens to the money when a booking is cancelled?

It follows the refund rules you set: inside your free-cancellation window it goes back, outside it does not, and a slot released in time goes straight back on sale. The rules are yours; the mechanics are automatic.
